How a Grocer Improved Cash Flow By Adopting EDI Invoicing Across Its Vendors

The Story

Miner’s Inc. Introduces EDI Into Its Grocery Banners

Overview

Miner’s Inc. is a regional grocery retailer operating 33 stores under the Super One Foods and Woodland Marketplace Foods banners and carrying roughly 140,000 SKUs. They had previously used Fintech for automated alcohol invoice payments and data capture. In 2026, Miner’s expanded that relationship with PaymentSource Premium, using EDI to bring clean, automated invoice data in from over 300 vendors across all other business purchases, from groceries and household goods to supplies.

The Challenge

Before working with Fintech, Miner’s processed the bulk of its non-alcohol invoices for purchases through DocuWare, a document-scanning tool. Vendors’ paper invoices were scanned in, and an AP clerk manually keyed in the vendor, dollar amount, and department for every line.

Miner’s had no EDI in place for its vendors. The one exception was a warehouse operation that used EDI only because a handful of large manufacturers required it to place orders at all.

The manual process created three problems that grew with volume.

  • Uneven invoice timing: Weekend deliveries produced a pile of paper invoices that store bookkeepers often couldn’t scan until midweek, so AP received them in large, irregular batches.
  • Lost paperwork: A delivery could be checked in while the receipt never made it to the bookkeeper, especially on weekends, leaving AP to track it down later.
  • Department coding gaps: Miner’s required vendors to invoice by department, but vendors had no way of knowing when Miner’s moved a product to a different department. This resulted in real dollars sometimes billed to the wrong department.

The Solution

Miner’s expanded its Fintech relationship from automated alcohol invoice payments and data entry to onboarding its other vendors onto EDI, bringing clean, structured invoice data across all other business purchases.

Fintech handled onboarding based on vendor size and complexity, starting with top vendors that already exist within Fintech’s network. Larger vendors were paired directly with a Fintech implementation team to handle setup, testing, implementation, and maintenance.

Smaller vendors were routed through Fintech’s self-service onboarding through the Invoice Builder tool, which allows vendors to create electronic versions of invoices for EDI processing.

“If the honey guy that sells to the four stores in the UP of Michigan is able to figure it out, everyone should be able to figure it out.” – Will Fournier, Miner’s Inc.

Approximately 60% of Miner’s previously manual invoice volume was on track to flow through Fintech’s EDI, with the remaining vendors — including many smaller, self-service candidates — set to onboard soon.

The Results

More Predictable Cash Flow

The biggest surprise for Miner’s was its effect on cash flow.

Under the old process, weekend deliveries created a weekly crunch. Store bookkeepers were busiest on Mondays and Tuesdays, so paper invoices from Friday through Sunday often sat until Wednesday before they were scanned. When they finally hit AP all at once, Miner’s faced large check runs it hadn’t planned for, and cash went out in unpredictable spikes.

With EDI, invoice data no longer waits on a bookkeeper to scan it. It arrives in a consistent daily file, so payables build steadily through the week. That gives Miner’s:

  • Steadier check runs that track actual daily volume
  • Fewer surprise payment spikes after busy delivery weekends
  • Fewer missing invoices from paperwork that never reached the office

Vendors benefit too. With fewer invoices getting lost between the delivery dock and AP, vendors spend less time following up on payment. As more vendors come on board, Miner’s also sees an opportunity to shorten its month-end close, which currently stays open a couple of weeks so late invoices can roll in.

More Accurate Department and Category Coding

Miner’s no longer depends on vendors to invoice by the right department. Instead, it pulls Fintech invoice data and codes each item by UPC against its own department assignments.

When Miner’s moves an item, such as selling a product under deli instead of grocery, the coding follows automatically. Dollars that were once billed to the wrong department are now recorded accurately, giving Miner’s a cleaner view of what each department actually buys.

Fewer Pricing Audits and Vendor Billbacks

Teams outside of AP, including Miner’s scanning and pricing audit staff, now have their own Fintech logins. They can drill down to the UPC level on everything billed within the last 24 hours.

Before, confirming a promotion meant asking the vendor to run the numbers or waiting for invoices to arrive. Now Miner’s staff can check, for example, whether a promised dollar-off-per-case deal was applied, and bill back discrepancies on their own timeline. Miner’s has already recovered significant dollars this way. Buyers use the same access to confirm they received the prices they negotiated.

“Everyone’s looking at the same data, and we’re not questioning where it came from.” – Will Fournier

Shared data also reduces simple keying errors, such as an extra zero added to an invoice number, that used to make invoices hard to find.

A Leaner AP Team Without Backfilling

Before Fintech, Miner’s had seven AP clerks. Automating alcohol invoices brought that to five and a half. With the expansion to other vendors, Miner’s will operate with three after an upcoming retirement, with no plans to replace the role. AP clerks are now largely out of the process for EDI invoices.

Why Fintech

Miner’s set out to stop manually entering invoices across its large number of vendors. With most of that volume now on track to flow through Fintech, the payoff has reached well past AP. Finance has a steadier weekly cash picture, pricing and scanning teams work from the same invoice data as AP, and they receive a clean file every day with coded invoice data. As its remaining vendors onboard, Miner’s is set to extend those gains across its full vendor network.

What Our Partners Say

“Everyone is looking at the same data, and we’re not questioning where it came from. Fintech is very consistent, and you know what’s coming the same day, every day, when we get the file import. One thing I didn’t expect is that this process has actually smoothed out our cash flow because you avoid the situation of bookkeepers being really busy with weekend deliveries, being slow to scan invoices in, and then being stuck doing a large check run on one day.”
